About our Privacy Policy

Study Association AnAchi takes care of your privacy. That’s why we only process personal data that we need for our services and we use this personal information carefully.

This Privacy Policy contains information about all data we edit for our services. The starting date of this policy is 28/05/2018. With the publication of a newer version the older version will expire. This policy describes what kind of data we collect, where this data is used and with who and with what kind of conditions this data is shared with third parties. We also explain on what way we save and secure your data and what kind of rights you have concerning your data.

Webhosting

WordPress; WP-Members

We get our AnArchi member data of the webhosting WordPress with the regular plug-in WP-Members. WP-Members processes your personal data but they are not allowed to view or use this data. Only restricted accounts are able to view this data, these are the administrator accounts. The Study Association AnArchi is the only one with an administrator account. WordPress; WP-Members has taken appropriate measures for preventing unauthorized use of your data. WordPress; WP-Members is obliged by the agreement to provide secrecy.

File sync and share system

OwnCloud

We save all your data in secured excel files. These files are saved on the OwnCloud, our file sync and share system. Only the current board of the Study Association AnArchi can reach these files. Owncloud isn’t allowed to view or use this data. OwnCloud has taken appropriate measures for preventing unauthorized use of our data. OwnCloud is obliged by the agreement to provide secrecy.

One.com

We make use of One.com for back-up our emails and our website. Only the current board of the Study Association AnArchi can reach these back-ups. One.com is not allowed to view or use this data. One.com has taken appropriate measures for preventing unauthorized use of our data. One.com is obliged by the agreement to provide secrecy.

Checking data

CHEOPS Study Association of the Built Environment

Once a year we share some of our data with CHEOPS; Study Association of the Built Environment. This data contains; last name, prepositions, first name and TU/e ID. CHEOPS is our umbrella study association that gives us subsidy for the number of AnArchi members and educational activities. CHEOPS isn’t allowed to use this data for own or other purposes and can only view this data. CHEOPS has taken appropriate measures for preventing unauthorized use of our data. CHEOPS is obliged by the agreement to provide secrecy.

Faculty of the Built Environment on the Technical University in
Eindhoven

Once a year we share some of our data with the Faculty of the Built Environment on the Technical University in Eindhoven. This data contains; last name, prepositions, first name and TU/e ID. The Faculty already has your data as all AnArchi members need to be studying at the faculty of the Built Environment. If our data is not matching with the Faculty your data will be deleted or added to the list of Alumni members. The faculty isn’t allowed to use this data for own or other purposes and can only view this data. The faculty has taken appropriate measures for preventing unauthorized use of our data. The faculty is obliged by the agreement to provide secrecy of our data.

About additional data editing

Subscribing for activities

We use the free plug-in; Contact form 7 for making it possible to subscribe for AnArchi activities. Contact form 7 is designed in compliant with the current data protection standards. When AnArchi members or non AnArchi members subscribe for AnArchi activities on our website their data will be emailed within an automatic reply mail. This email contains all the data that will be used for the subscription. An email address of AnArchi is added in the bcc of this email, so AnArchi can edit the following data in an excel sheet; first name, last name and email address. This excel will be saved with a code on the OwnCloud. All registration details of the tenderer that are stored in the mailbox of AnArchi and the excel sheet will be deleted within one year after the activity, if the tenderer has fulfilled his obligations.

Subscribing for Archiprint

Contact form 7 is also used for subscribing for Archiprint, the theoretical architecture journal of AnArchi. When AnArchi members or non AnArchi members subscribe for Archiprint on our website their data will be emailed within an automatic reply mail. This email contains all the data that will be used. An email address of AnArchi is added in the bcc of this email, so AnArchi can edit the following data in an excel sheet; first name, last name, email address, phone number, address, ZIP-code, City and choice of issues. This excel will be saved on the OwnCloud and secured with a code. All registration details of the tenderer that are stored in the mailbox of AnArchi and the excel sheet will be deleted within one year after the activity, if the tenderer has fulfilled his obligations.

Printed data

We collect copies of passports, health insurances and signed contracts of AnArchi members that will travel with AnArchi on a multi-day excursion of AnArchi. AnArchi has taken appropriate measurers of preventing unauthorized use of these documents by leaving the documents in a double locked closet. AnArchi is obliged to provide secrecy about these documents. All documents will be deleted within one year after the travel, if the tenderer has fulfilled his obligations of the contract he signed.

Cooperation in tax and criminal investigation

If appropriate, AnArchi can be forced on the basis of a legal obligation for sharing our data on the bases of governmental taxes or criminal investigations. In such a case we are forced to share your information, but we will try to oppose this within the possibilities the law offers us.

How long we retain your data

We store your data as long as you are member of us. This means that we store your account until you cancel your membership. If you cancel your membership we will also delete the data you gave us. On the base of administration obligations we have to store invoices with your personal data, these data will be saved until the applicable period has expired.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Your rights

According to the Dutch and European legislation, you as a data subject have certain rights with regard to the personal data that is processed by us. We explain below which rights these are and how you can invoke these rights.

In principle, in order to prevent abuse, we will send copies of your data to your already known e-mail address only. If you wish to receive the data at another e-mail address you can change your e-mail address online at your membership account or we will ask you to identify yourself.

You have the right to report a complaint to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at any time if you suspect that we misuse your personal data.

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

You always have the right to inspect the data that we have processed/ are processing that relate to you. You can log in to your AnArchi membership account or submit a request. If you submit a request you will receive a response within 30 days.

About our website

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
